What is a membership?
A membership bills a customer on a repeating schedule and grants them package credits each cycle, such as a monthly gym membership with unlimited sessions, or 4 package credits a month.
A membership's plan is one or more recurring packages, billed together each cycle. It can also carry products and services as add-ons, billed at the same cadence.
Membership status
A membership is always one of Awaiting payment, Active, Paused, Cancelled.
- Awaiting payment: created, and starts once its first invoice is paid
- Active: billing and granting credits each cycle
- Paused: not billed while paused
- Cancelled: ended
Separately, a membership with an unpaid invoice shows Unpaid dues. Until the dues are paid, the member cannot spend that membership's credits.
Starting a membership
Customers can start a membership themselves from your storefront by choosing a package's recurring option. You can also create one for them:
- Go to Memberships in your business and choose Create membership
- Choose the customer and the billing location. Invoices, the timezone and add-on stock come from that location
- Add the first package. It sets the billing cadence, and every other package must bill on the same one
- Choose Add package for any more packages. The package list shows the packages the billing location sells at the plan's cadence; type a name to find one further down. A package the customer already holds a membership for cannot be added again
- Create the membership
The first cycle is invoiced as soon as you create it, and the membership starts once that invoice is paid. Products and services are added as add-ons afterwards, from the membership's Plan.
Setting a member's price
Each package starts at its plan price. Change it to discount this member or give it to them free. The price you set is what they pay every cycle, not only the first. A price of zero activates the membership straight away with nothing to pay.
Changing a membership
Open a membership to see its Price each cycle, its next payment, when it started, when it was last invoiced and the location it is Billed at, and change what it includes under Plan. Add item adds a package, product or service: the item you pick keeps its name, price and VAT rate as it was when you picked it, even if you found it by searching. Without a VAT number it takes no rate. Changes take effect from the next payment, or from the first payment after a pause.
If a package is sold at another cadence too, a button such as Switch to monthly, billing £40.00 changes the membership to it. The switch is queued for the end of the current cycle, the membership says what it will bill from then, and the matching Keep button, such as Keep yearly, withdraws it.
When a customer adds a package to their membership from your storefront, they pay for the rest of this cycle straight away, then the full price with their dues from the next payment. For a package with a set number of package credits, the rest of the cycle grants its share of them rounded up to a whole credit, and the customer pays for the credits they receive. If a pause is scheduled, the full price starts once the membership restarts, and the storefront says so.
Pausing and restarting
Choose Pause membership, and choose when the pause starts: Now, or At the next payment. Set a Restart on date, or leave it blank to restart it yourself.
While paused, the member is not billed. The paused days are added to their next payment date and to their package credits' expiry.
Choose Restart to restart it early. You can also cancel a pause that has not started yet.
Cancelling a membership
Choose Cancel membership. It ends straight away:
- Package credits already granted are kept
- Unpaid dues are written off
- Anything already paid towards those dues is refunded
Customers can cancel their own membership from their account.
Finding memberships
The list shows current memberships, with their customer, plan, next payment and dues owed, and in your business's list, the location that bills each one. Filter by status or by unpaid dues, or switch to Ended.
When a location closes
Memberships billed at a location that closes can move to another location that sells the same packages. Any that cannot move are cancelled on the closing day. See Multi-location management.
What your customer sees
Customers see their memberships in their account, with what is included, the next payment and anything owed. From there they can pay, cancel, restart a paused membership or cancel a scheduled pause. Pay names the amount left after any account credit they hold, reads Payment processing while a charge is in flight, and says when online payment is unavailable. Ended memberships show the most recently ended first, unless the customer picks another order.
